Fleet Wrap Checklist

What to gather before you ask for a fleet wrap quote

Your Fleet Wrap Checklist

To get an accurate fleet wrap quote, gather six things: a list of your vehicles, photos of each one, your logo files, the coverage you want (full wrap, partial wrap or lettering), the date you need them on the road, and which vehicles are available when. With that information, RoadRunner Wraps can recommend coverage, plan the install schedule and give you a quote without a lot of back and forth.

You don’t need everything on this page to get started. Send what you have and we’ll help with the rest. Fleet discounts are available, and we’ve completed more than 70,000 vehicles since 1988.

The 8-Step Fleet Wrap Checklist

  1. List every vehicle. Include year, make, model and body style. Note roof height on vans and the length of box trucks and trailers.
  2. Take photos. Capture all four sides, the rear and any damage, rust or peeling paint. Vinyl can’t hide those, and we’ll tell you up front if they need attention.
  3. Note existing graphics. Mark which vehicles have old decals or wraps. We provide wrap removal, which adds time to those vehicles.
  4. Gather your artwork. Send your logo in a vector format (.ai, .eps, .svg or .pdf) and any brand guidelines. See the fleet wrap design guide.
  5. Choose the coverage. Decide on full wraps, partial wraps or lettering. If you’re unsure, ask for both options.
  6. Name one decision-maker. One person signing off on proofs keeps approvals moving. Several people reviewing each revision slows a project down.
  7. Set your target date and budget. Tell us when you need the vehicles on the road and what you want to spend, including any vehicles you plan to add.
  8. Plan vehicle availability. Decide which vehicles can come in first and which days work best, so the fleet keeps running.

What to Record for Each Vehicle

A simple spreadsheet works. One row per vehicle, with these columns:

DetailWhy it matters
Year, make and modelDifferent models have different panels, so each gets its own layout
Body style or sizeRoof height, box length and trailer size change the amount of vinyl and install time
Paint color and conditionAffects how the design looks and whether prep is needed first
Existing graphicsOld decals or wraps may need removal before installation
EquipmentRacks, toolboxes and ladders can block parts of the body
AvailabilityLets us schedule installs around your busy days

Photos to Take

  • Driver side, passenger side, front and rear of each vehicle.
  • Close-ups of dents, rust, peeling clear coat or paint repairs.
  • Existing decals, lettering or wraps.
  • Racks, toolboxes or other equipment attached to the body.

Plan the Schedule

  • Wrap in waves. Bring in one or two vehicles at a time so the rest keep working.
  • Book ahead of a launch or busy season so there’s room for revisions.
  • Keep drop-off days. Missed drop-offs push the whole schedule.
  • See how long a fleet wrap takes.

Questions to Ask Any Fleet Wrap Shop

  • Is design included in the price, and how are extra revisions handled?
  • What vinyl will be used, and what warranties cover the print and the installation?
  • Is wrap removal included or priced separately?
  • What is the price per vehicle and the total project price, and does it change if installs are done in stages?
  • How will installs be scheduled so the fleet can keep working?

Fleet Wrap Checklist FAQs

What do I need to get a fleet wrap quote?

The number of vehicles with their makes and models, photos, your logo files, whether you want full wraps, partial wraps or lettering, and the date you need them done. If you’re missing something, send what you have and we’ll help.

Do I need a finished design before I ask for a quote?

No. Our designers can build one from your logo and brand colors, and you approve a rendering before anything is printed.

Should I include vehicles I plan to add later?

Yes. Tell us about planned additions so we can account for them in the design and the pricing discussion.

What if some vehicles have damaged paint?

Send photos. Vinyl follows the surface underneath, so dents, rust and peeling clear coat will still show and can affect how well the wrap sticks. We’ll tell you up front if anything needs attention first.
